Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: reconcile the approval and work record for "Milestone 2: checkout flow accepted (25%)" to establish the quantity for this invoice.

  2. Record delivery and acceptance

Check completion for every line, including "Map component licence, 12 months". Deliver the agreed test results and configuration notes, and assign owners for outstanding items.

  3. Send the billing record

Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.

In software, design and other project work the price is often fixed and split into milestones: a payment falls due when a defined piece of work is delivered and accepted, not when hours are spent. A milestone invoice claims one of those payments. It needs the milestone as the contract names it, its share of the fee, and evidence of acceptance. Change requests and costs the client agreed to reimburse stay on separate lines.

Fields to prepare

Deliverables and line items
Milestone 2: checkout flow accepted (25%), Change request CR-04: second payment provider, Map component licence, 12 months: record the quantities actually supplied and the service period.
Milestone 2: checkout flow accepted (25%)
Copy the milestone name and percentage from the payment schedule and add the acceptance date, for example the sign-off e-mail.
Change request CR-04: second payment provider
Quote the change request number and its approved price; an unapproved change does not belong on any invoice.
Map component licence, 12 months
Pass on third-party licences only if the contract says the client pays them, and state the licence period.
Environment and dependencies
Record target systems, integration counts, data volume and who supplies test access.
Acceptance and support
Set acceptance scenarios, the review window, support duration after handover and excluded work.
Scope to agree
Name the milestone exactly as the contract schedule does, quote the date and form of the client’s acceptance, and bill approved change requests on separate lines.

Before sending

  • Does “Milestone 2: checkout flow accepted (25%)” show the quantity actually supplied, not the quantity first quoted?
  • Is “Change request CR-04: second payment provider” charged at the rate the customer agreed to, with any change approved?
  • Is “Map component licence, 12 months” finished and accepted, or does it belong on a later invoice?
Show 3 more
  • Separate third-party service charges from implementation fees.
  • Agree who handles the production transition and what recovery work is included if it fails.
  • Match completed work to the order or approval record, and confirm the payment due date and amounts already received.

Worked example: billing the second of four milestones

The figures are an example, with an example tax rate of 8%. A studio builds a booking app for a fixed $36,000 in four milestones. The checkout flow, milestone 2 at 25%, was accepted by e-mail; change request 4 added a second payment provider; and a map component licence was bought for the client.

  1. Milestone line: 25% of $36,000 is $9,000, with the acceptance date in the description.
  2. Change and licence: one line each, with the change request number and the licence period.
Worked example: billing the second of four milestones
ItemQuantity × unit priceAmount
Milestone 2: checkout flow accepted (25%)1 × $9,000.00$9,000.00
Change request CR-04: second payment provider1 × $1,200.00$1,200.00
Map component licence, 12 months1 × $480.00$480.00
Subtotal$10,680.00
Sales tax (8%)$854.40
Total$11,534.40

The lines add up to $10,680.00; tax at 8% is $854.40; the invoice asks for $11,534.40. A note says milestone 1 was billed earlier and that milestones 3 and 4, worth $18,000 together, are still to come.

Common mistakes on a milestone invoice

  • Invoicing a milestone before the acceptance the contract asks for.
  • Naming the milestone differently from the payment schedule, so it cannot be matched.
  • Hiding change requests inside the milestone amount.
  • Forgetting reimbursable third-party costs until the project is closed.
  • Not saying which milestones remain, so the client loses track of the total.

What the document must show

These details make an invoice easier to approve and to file.

  • Your business name, address and registration or tax number
  • The customer's name and address
  • Issue date and a document number you do not reuse
  • Each line item with quantity, unit price and amount
  • Tax shown separately from the net amount, and the total payable
  • Payment terms: due date, bank details or accepted payment methods

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions

What counts as acceptance before I can invoice a milestone?

Whatever the contract defines: often a written sign-off, or an acceptance period after which silence counts as acceptance. Quote the date and the form on the line, such as the e-mail or the test report, so accounts payable can release the payment without asking the project team.

The client accepted the milestone with open bugs. Can I still bill it?

If the contract allows acceptance with minor defects, yes. List the open items and the date you will fix them in the notes, and do not hold back the invoice unless that was agreed.

Should change requests be billed with a milestone or separately?

Either, as long as each approved change has its own line with its number and price. A change hidden inside a milestone amount makes the schedule impossible to check later.

What if the milestone slips because the client sends content late?

Look at the contract first. Some let you invoice on the planned date when the delay is on the client’s side; if yours does, cite the clause on the line. If not, invoice on acceptance and note the cause of the delay.

Do milestones have to be equal amounts?

No. They follow the value of each stage as the contract sets it. Showing the percentage next to the amount lets the client see how much of the total has been billed.

How is tax calculated on this template?

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending. The editor keeps the net amount, the tax and the total apart, and recalculates all three when you change a quantity, a unit price or the country setting.

Can I email it to the customer?

Yes, from your own mail app. With a free account, the editor’s download menu offers Email this document, which opens your mail app with a message about the document already written. QuoteBill sends nothing itself, so save the PDF and attach it before you send.
