Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: reconcile the approval and work record for "Clear gutters, two-storey semi-detached house" to establish the quantity for this invoice.

  2. Record delivery and acceptance

Check completion for every line, including "Replace broken gutter brackets". Deliver the service record, materials used, unresolved issues and the agreed next visit date.

  3. Send the billing record

Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.

Gutter cleaning is usually done while the client is out, two storeys up, in a place they will never look. The invoice therefore has to carry the evidence. This template bills the clearing as one line for the house, gives the downpipes their own line once they have been flushed and seen to run freely, and keeps small repairs such as a leaking joint or a broken bracket apart, priced as agreed on the day. Photos taken before and after are the proof most clients want.

Fields to prepare

Deliverables and line items
Clear gutters, two-storey semi-detached house, Flush and test four downpipes, Reseal a leaking joint at the corner, Replace broken gutter brackets: record the quantities actually supplied and the service period.
Clear gutters, two-storey semi-detached house
Describe the property by storeys and the runs cleared, front, back and any extension, so a missed side is obvious.
Flush and test four downpipes
Note that each downpipe ran clear after flushing, and which one needed rodding to get there.
Reseal a leaking joint at the corner
Say what failed at the joint and what sealant or connector was used; a reseal is not a new gutter.
Replace broken gutter brackets
Count the brackets replaced and say whether the fall of the gutter was corrected while you were there.
Assets and visits
Record the asset or area, visit dates, visit count and access arrangements.
Labor and materials used
Separate labor hours, quantities of parts or consumables, and work outside the recurring scope.
Scope to agree
Say how many storeys and runs were cleared and how you reached them, attach before-and-after photos, and list repairs only once the client has agreed to them.

Frequently asked questions

How do I show the work was done if nobody was home?

Attach dated photos of each run before and after and mention them in the notes. Most clients accept them as proof, and they help if a leak is reported later.

I found a repair I had not quoted for: can I add it?

Only once the client agrees, by phone or message; note when and how they agreed. Otherwise describe the fault in the notes and send a separate quotation.

How is the sales tax worked out on this invoice?

The worked example above uses an example rate of 8%: $19.28 on a net amount of $241.00, for a total of $260.28. The editor recalculates all three when you change a quantity, a price or the country.

How should I number invoices?

Use one unbroken sequence per business, never reuse a number, and issue a credit note rather than deleting an invoice you have already sent.

Can I add my logo and signature?

Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
