Preparation guide

Example workflow

  1. Match the payment to the invoice

Example: check the payment for "Value voucher, code GV-7741" against the invoice it settles: the invoice number, the amount received and any balance still owed.

  2. Record the payment

Enter the payment date, the payment method and the amount received, and check each line this payment covers, down to "Presentation box and card".

  3. Send the receipt

Send the receipt to the customer and mark the invoice as paid; if a balance remains, keep the invoice open for it.

Selling a gift voucher is not the same as selling goods: the money arrives now, the service or goods follow months later, and the person who redeems it is usually not the buyer. The receipt is the buyer’s proof if the voucher is lost and your record of a promise still open. This template gives each voucher its own line with its code and expiry, separates a money-value voucher from one for a named treatment, and keeps the gift box apart.

Fields to prepare

Deliverables and line items
Value voucher, code GV-7741, Treatment voucher: one 60-minute facial, code GV-7742, Presentation box and card: the lines this payment covers, as they appear on the invoice it settles.
Value voucher, code GV-7741
Print the voucher code exactly as it appears on the voucher, so a lost voucher can be traced and blocked.
Treatment voucher: one 60-minute facial, code GV-7742
Name the treatment and its length on a service voucher; if your prices rise before it is used, the voucher still buys that treatment.
Presentation box and card
Charge packaging as its own line; it is a sale of goods today, unlike the vouchers themselves.
Payment details
Record the payment date, the method (bank transfer, card or cash) and the amount received, exactly as it arrived.
Invoice reference
Quote the number of the invoice this payment settles; for a part payment, note the balance still owed.
Scope to agree
Give each voucher its code, value or service and expiry date, record who bought it rather than who will use it, and say whether unused value can be refunded.

Frequently asked questions

Is tax due when the voucher is sold or when it is used?

That depends on the voucher and the country. In some systems a voucher for one specific service is taxed at sale, while a money-value voucher is taxed when redeemed. Ask your adviser how yours works before you print a tax amount.

What goes on the receipt when the voucher is later redeemed?

The redemption is a sale of its own: issue a receipt for the treatment or goods, show the voucher code as the payment method and record any top-up the customer paid.

How is the sales tax worked out on this receipt?

The worked example above uses an example rate of 8%: $14.32 on a net amount of $179.00, for a total of $193.32. The editor recalculates all three when you change a quantity, a price or the country.

Is a receipt the same as an invoice?

No. An invoice asks for payment; a receipt confirms a payment you have received. Issue it after the money arrives, quote the invoice number it settles, and show any balance still owed.

Can I use it in another language or currency?

Yes. The document language can be set to any of 33 languages, and changing the country setting updates the currency, the date format and the tax rate.
