Preparation guide

Example workflow

  1. Match the payment to the invoice

Example: check the payment for "Frame, titanium, full-rim" against the invoice it settles: the invoice number, the amount received and any balance still owed.

  2. Record the payment

Enter the payment date, the payment method and the amount received, and check each line this payment covers, down to "Clip-on sunglasses attachment".

  3. Send the receipt

Send the receipt to the customer and mark the invoice as paid; if a balance remains, keep the invoice open for it.

Glasses are made to order, so the shop often gives two receipts: one for the payment at the order and one for the pick-up. Customers keep them for the warranty, for a replacement lens and because an employer or insurer who reimburses part of the cost wants to see exactly what was bought. Frame, lenses with their coatings, sight test and any attachment each get a line here, and the prescription values stay on your own order card.

Fields to prepare

Deliverables and line items
Frame, titanium, full-rim, Progressive lenses, index 1.67, anti-reflective coating, Sight test and fitting appointment, Clip-on sunglasses attachment: the lines this payment covers, as they appear on the invoice it settles.
Frame, titanium, full-rim
Give brand, model number and colour; the customer needs them to order a replacement or to make a warranty claim.
Progressive lenses, index 1.67, anti-reflective coating
Name the lens design, the index and each coating on its own; leave the prescription values on your order card.
Sight test and fitting appointment
Say whether the test fee is deducted from the price when the customer buys the glasses, since it changes what they pay.
Clip-on sunglasses attachment
Name the attachment and the frame it fits; a clip-on is cut for one frame and will not suit the next pair.
Payment details
Record the payment date, the method (bank transfer, card or cash) and the amount received, exactly as it arrived.
Invoice reference
Quote the number of the invoice this payment settles; for a part payment, note the balance still owed.
Scope to agree
Name the frame by brand, model and colour and the lenses by design, index and coatings, give the pick-up date, and note any adjustment or remake terms your shop offers.

Frequently asked questions

Should the receipt show the prescription values?

Usually not. Put the lens design and coatings on the receipt and keep the sphere, cylinder and axis values on your own order card, where a customer’s health information is easier to protect.

What do I write about the adaptation period?

State the number of days you allow for re-making lenses a customer cannot get used to, and any fee. Shops handle this differently, so write your own rule and count the days from the pick-up date.

How is the sales tax worked out on this receipt?

The worked example above uses an example rate of 8%: $33.20 on a net amount of $415.00, for a total of $448.20. The editor recalculates all three when you change a quantity, a price or the country.

Is a receipt the same as an invoice?

No. An invoice asks for payment; a receipt confirms a payment you have received. Issue it after the money arrives, quote the invoice number it settles, and show any balance still owed.

Is this template free?

Yes. You can fill in this template and print it or save it as a PDF without an account, and there is no payment step and no watermark on the document. Saving it to your account and downloading Excel or Word files need a free account.
