Preparation guide

Example workflow

  1. Pick and pack

Example: count "Cotton poplin, 150 cm wide" and the other lines against the order, and note anything that ships later.

  2. Ship with the note

Put the note in or on the shipment with the tracking number and package count, and check "Fusible interlining, 90 cm wide" is listed.

  3. Get it signed

Ask the recipient to sign and date the received-by line, and keep the signed copy as proof of delivery.

A fabric delivery note travels with rolls of cloth from the mill or wholesaler to a garment maker. Buyers check it roll by roll: the quality, the width, the colour and the dye lot, because two lots of the same colour can differ enough to show in a finished garment. This template lists the qualities with their width, counts the rolls without prices and leaves room for lengths and lot numbers, so the receiving clerk signs for exactly what arrived.

Fields to prepare

Deliverables and line items
Cotton poplin, 150 cm wide, Linen blend, 140 cm wide, Fusible interlining, 90 cm wide: record the quantity actually shipped for each line; prices stay off the note.
Cotton poplin, 150 cm wide
Give the usable width, not the width including the selvedge, and the article or quality number the buyer ordered.
Linen blend, 140 cm wide
Keep different dye lots of the same colour on separate lines; mixed on one line, the lot difference disappears.
Fusible interlining, 90 cm wide
Interlining is often sold by the roll of a fixed length; state that length so the count of rolls means something.
Order and delivery
Quote the order or invoice number the delivery belongs to, the delivery date and the address the goods go to.
Shipment
Give the number of packages, the carrier or shipping method and the tracking number.
Scope to agree
Give each roll’s colour or dye lot and its length in metres, so the cutting room can match the rolls to the order and report shortfalls.

What the document must show

These details make a delivery note easier to approve and to file.

  • Your company name and address
  • The customer's name and delivery address
  • Note number and delivery date
  • The order or invoice it belongs to
  • Each item with the quantity delivered
  • Packages and carrier or tracking number
  • A line for the recipient's signature and date

This document prints quantities without prices, so no tax appears on it unless you switch its line columns to prices and totals.

Frequently asked questions

Should the delivery note list metres or rolls?

Count rolls on the lines and give each roll’s length in the notes or a packing list. The buyer checks both, and the invoice is usually billed by the metre.

What if a roll arrives damaged?

The receiver writes the roll and the damage on the delivery note before signing; you then send a replacement roll or reduce the invoice for it.

Does this delivery note show prices or tax?

This document prints quantities without prices, so no tax appears on it unless you switch its line columns to prices and totals. The worked example above counts 24 units and nothing else.

Does a delivery note show prices?

Usually not. It lists what was shipped so the recipient can check it; prices go on the invoice. QuoteBill leaves them off unless you switch the line columns to prices.

How is the document numbered?

QuoteBill gives each new document a unique number of its own. A member can switch to numbers in sequence in settings, such as DN-2026-0001: one sequence for each kind of document, starting again every calendar year. A number you type yourself is kept as it is.
