Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: start with "Scaffold or access equipment, per week", confirm the required quantity and client inputs, then agree completion criteria for each item.

  2. Review and approve the quotation

Confirm acceptance evidence for "Windows, fascias and doors: prepare and gloss, per item", all line quantities, exclusions and quote validity with the customer, and retain the approved version.

  3. Deliver and prepare billing

Confirm completed quantities, site photos, agreed test results and any remaining remedial work. When the agreed milestone is complete, prepare an invoice using actual quantities and approved changes.

Painting the outside of a house is mostly preparation and access: scaffolding goes up, walls are washed and repaired, flaking paint comes off the woodwork, and only then does new paint go on. An exterior painting quotation that shows these steps lets the client see why two prices for the same house differ. This template keeps scaffold hire by the week, prices walls by area and woodwork by the item, and leaves room for the weather terms.

Count windows, doors and fascia runs, and say whether rotten timber is repaired or replaced at an extra rate.
Site and measured quantities
Record the site, work zones, areas, lengths or counts, and access hours.
Materials and work stages
Specify materials, labor, removal, disposal and making-good allowances, and completion criteria for each stage.
Scope to agree
Separate access, preparation, walls and woodwork, name the paint system and number of coats, and say how weather delays are handled.

Frequently asked questions

How should the quotation deal with rain and cold?

Paint makers give minimum temperatures and drying conditions, so say that work pauses when the weather falls outside them and the finish date moves with it. State whether extra scaffold weeks caused by weather are charged.

Should colour samples be part of the quotation?

Offer test patches on the wall in two or three colours before the order is placed. Daylight changes how a colour looks outside, and an approved sample avoids repainting a whole side of the house.

How is the sales tax worked out on this quotation?

The worked example above uses an example rate of 8%: $361.60 on a net amount of $4,520.00, for a total of $4,881.60. The editor recalculates all three when you change a quantity, a price or the country.

How do I turn an approved quotation into an invoice?

Open the approved quotation and convert it. The original stays unchanged, and the invoice carries the same line items so the customer can match the two documents.

Can I add my logo and signature?

Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
