Preparation guide

Example workflow

  1. Match the payment to the invoice

Example: check the payment for "Conference pass, two days" against the invoice it settles: the invoice number, the amount received and any balance still owed.

  2. Record the payment

Enter the payment date, the payment method and the amount received, and check each line this payment covers, down to "Booking fee per ticket".

  3. Send the receipt

Send the receipt to the customer and mark the invoice as paid; if a balance remains, keep the invoice open for it.

Whoever buys tickets for a conference or a training day is often not the person who attends: an assistant books for the team, a company pays for an employee. The receipt therefore has to say who each ticket is for, which event and day it covers, and what the booking fee was. This template lists the passes and the workshop seats separately and keeps the booking fee on its own line, which matters if the event is cancelled and only the tickets are refunded.

Fields to prepare

Deliverables and line items
Conference pass, two days, Workshop seat, day two, Booking fee per ticket: the lines this payment covers, as they appear on the invoice it settles.
Conference pass, two days
Write the attendee’s name beside each pass if tickets are personal; a receipt for “2 passes” cannot be claimed by two different employers.
Workshop seat, day two
Give the workshop title and session time, because seats are limited and attendees ask which one they booked.
Booking fee per ticket
Show the booking fee per ticket and say whether it is refundable; this is the line most refund disputes turn on.
Payment details
Record the payment date, the method (bank transfer, card or cash) and the amount received, exactly as it arrived.
Invoice reference
Quote the number of the invoice this payment settles; for a part payment, note the balance still owed.
Scope to agree
Name the event, its date and venue and the attendee each ticket is for, and keep booking fees and optional add-ons apart from the ticket price.

Before sending

  • Does “Conference pass, two days” match the line on the invoice this payment settles?
  • Has the money for “Workshop seat, day two” actually arrived, in full or in part?
  • Is “Booking fee per ticket” shown at the amount received, with any balance still owed noted?

  • Confirm the money has actually arrived before you issue the receipt.
  • Check that the amount received matches the invoice, and note any difference as a balance or an overpayment.
  • Quote the invoice number it settles, and keep receipt numbers in a sequence of their own.

What the document must show

The details a receipt has to show, and why each one matters, are set out in the guide below.

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions

Two colleagues from different companies booked together. Can I split the receipt?

Yes. Issue one receipt per payer with only their tickets, or one per attendee if each company reimburses its own. That is easier than explaining a shared receipt later.

Does the receipt need the event’s tax details?

If attendees reclaim tax, admission to events can follow its own rules, for example on where the tax is due. Check with your adviser what your receipt must show for attendees from abroad.

How is the sales tax worked out on this receipt?

The worked example above uses an example rate of 8%: $59.36 on a net amount of $742.00, for a total of $801.36. The editor recalculates all three when you change a quantity, a price or the country.

Can I use it in another language or currency?

Yes. The document language can be set to any of 33 languages, and changing the country setting updates the currency, the date format and the tax rate.

How is the document numbered?

QuoteBill gives each new document a unique number of its own. A member can switch to numbers in sequence in settings, such as REC-2026-0001: one sequence for each kind of document, starting again every calendar year. A number you type yourself is kept as it is.
