Preparation guide
Example workflow
Confirm scope and quantities
Example: reconcile the approval and work record for "Source data cleaning" to establish the quantity for this invoice.
Record delivery and acceptance
Check completion for every line, including "Analytics dashboard". Deliver the agreed test results and configuration notes, and assign owners for outstanding items.
Send the billing record
Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.
Data work is hard to judge from the outside, so an analyst’s invoice has to say what was done to which data. This template bills the three phases most projects pass through: cleaning the client’s source data, the analysis itself and the dashboard that keeps the results in view. Freelance analysts and small consultancies use it at the end of a project, or monthly while they maintain a dashboard, billing each phase once its output has been delivered.
Fields to prepare
- Deliverables and line items
- Source data cleaning, Statistical analysis, Analytics dashboard: record the quantities actually supplied and the service period.
- Source data cleaning
- Name the datasets and their size, for example three CSV exports with 120,000 rows, and bill hours or a fixed fee per dataset.
- Statistical analysis
- State the questions answered or the methods used, such as “regional sales trend, regression”, so the hours have a visible result.
- Analytics dashboard
- Bill building the dashboard once, and its monthly refresh as a separate line naming the month and the data sources updated.
- Environment and dependencies
- Record target systems, integration counts, data volume and who supplies test access.
- Acceptance and support
- Set acceptance scenarios, the review window, support duration after handover and excluded work.
- Scope to agree
- Record source periods and volumes, cleaning rules, analysis outputs and the dashboard refresh scope.
Before sending
- Does “Source data cleaning” show the quantity actually supplied, not the quantity first quoted?
- Is “Statistical analysis” charged at the rate the customer agreed to, with any change approved?
- Is “Analytics dashboard” finished and accepted, or does it belong on a later invoice?
Show 3 more
- Separate third-party service charges from implementation fees.
- Agree who handles the production transition and what recovery work is included if it fails.
- Match completed work to the order or approval record, and confirm the payment due date and amounts already received.
Worked example with sample figures
The figures below are invented to show how the template adds up: 3 lines in USD, with an example tax rate of 8%.
| Item | Quantity × unit price | Amount |
|---|---|---|
| Source data cleaning | 5 × $300.00 | $1,500.00 |
| Statistical analysis | 10 × $180.00 | $1,800.00 |
| Analytics dashboard | 20 × $300.00 | $6,000.00 |
| Subtotal | $9,300.00 | |
| Sales tax (8%) | $744.00 | |
| Total | $10,044.00 | |
Net amount $9,300.00, sales tax $744.00, total payable $10,044.00.
What the document must show
The details an invoice has to show, and why each one matters, are set out in the guide below.
The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions
The client’s data was worse than expected. Can I bill the extra cleaning?
Yes, if you warned the client and they agreed. Bill it as a separate line with the hours and a short reason, such as “duplicate customer records merged”, rather than quietly enlarging the analysis line.
Should software licenses for the dashboard appear on my invoice?
Only if you buy them on the client’s behalf. Otherwise the client holds the license and pays the vendor; your invoice covers building and maintaining the dashboard, not the tool it runs on.
Can I bill part of the project before the analysis is finished?
If the agreement allows it, bill the cleaning phase once its output is accepted. Clients can check cleaned data on their own, which makes it a natural first invoice in a longer project.
How is the sales tax worked out on this invoice?
The worked example above uses an example rate of 8%: $744.00 on a net amount of $9,300.00, for a total of $10,044.00. The editor recalculates all three when you change a quantity, a price or the country.
Can I email it to the customer?
Yes, from your own mail app. With a free account, the editor’s download menu offers Email this document, which opens your mail app with a message about the document already written. QuoteBill sends nothing itself, so save the PDF and attach it before you send.
