Preparation guide
Example workflow
Match the payment to the invoice
Example: check the payment for "Storage unit B-14, 50 sq ft, one month" against the invoice it settles: the invoice number, the amount received and any balance still owed.
Record the payment
Enter the payment date, the payment method and the amount received, and check each line this payment covers, down to "Contents protection cover, monthly".
Send the receipt
Send the receipt to the customer and mark the invoice as paid; if a balance remains, keep the invoice open for it.
Storage customers pay month by month, often by card at the counter or by transfer, and many of them are moving house, clearing an estate or running a small online shop from the unit. They keep the receipts to track what the storage costs them and, for a business, to claim it. This template names the unit and its size, states the month the fee covers, and keeps a padlock or a box sale apart from the recurring rent and the contents cover.
Fields to prepare
- Deliverables and line items
- Storage unit B-14, 50 sq ft, one month, Padlock, Contents protection cover, monthly: the lines this payment covers, as they appear on the invoice it settles.
- Storage unit B-14, 50 sq ft, one month
- Write the unit number and the dates the month runs from and to; a first month is often part of a month, so show how it was worked out.
- Padlock
- A padlock bought at the counter is a one-off sale; keep it off the monthly line so the next receipt is simply the rent.
- Contents protection cover, monthly
- Name the level of contents cover and who provides it, so the customer knows whom to call after a loss.
- Payment details
- Record the payment date, the method (bank transfer, card or cash) and the amount received, exactly as it arrived.
- Invoice reference
- Quote the number of the invoice this payment settles; for a part payment, note the balance still owed.
- Scope to agree
- Give the unit number and size, the period the payment covers and the next due date, and keep one-off items such as a padlock apart from the monthly fee.

Frequently asked questions
A customer pays six months in advance. One receipt or six?
One receipt for the payment, with the period it covers from the first to the last day. If your prices change in that time, say whether the prepaid months keep the old rate.
Can a storage receipt replace the rental agreement?
No. The agreement sets the rules on access, notice and unpaid fees; the receipt only shows what was paid for which period. Quote the agreement number so the two can be matched.
How is the sales tax worked out on this receipt?
The worked example above uses an example rate of 8%: $9.28 on a net amount of $116.00, for a total of $125.28. The editor recalculates all three when you change a quantity, a price or the country.
Is this template free?
Yes. You can fill in this template and print it or save it as a PDF without an account, and there is no payment step and no watermark on the document. Saving it to your account and downloading Excel or Word files need a free account.
Can I download it as Excel, Word or PDF?
Yes. A PDF needs no account: fill in the template and use Print / PDF. The Excel and Word files download from this page with a free account, and the spreadsheet keeps its formulas, so changing a quantity updates the tax and the total.
