Preparation guide

Example workflow

  1. Collect the period's documents

Example: list "Sales collected by the market, settlement S-118" and every other invoice, receipt and credit note for the customer in the period, oldest first.

  2. Check the running balance

Confirm the balance after each line, including "Commission 12% on settlement S-119", matches your accounts for this customer.

  3. Send and follow up

Send the statement with the balance due and payment terms, then follow up on invoices past due.

When a marketplace, a craft fair with a central till or a shared shop takes the customers’ money, the seller has to trust the operator’s payout reports. This statement lets the seller keep its own account of the arrangement. Sales the operator collected are entered as charges, its commission and the payouts received as payments and credits, settlement by settlement. The balance is then exactly what the operator still owes, a figure the seller can send back when a payout is late or short.

Fields to prepare

Sales collected by the market, settlement S-118, Commission 12% on settlement S-118, Payout received for settlement S-118, Sales collected by the market, settlement S-119, Commission 12% on settlement S-119: list each invoice, payment and credit by date, with its document number.
Sales collected by the market, settlement S-118
Take gross sales from the operator’s settlement report and keep its settlement number, so both sides talk about the same batch.
Commission 12% on settlement S-118
Enter commission at the agreed rate on the same settlement; a different rate on the report is the first thing to query.
Payout received for settlement S-118
Record the payout on the date it reached your bank, with the settlement it belongs to.
Sales collected by the market, settlement S-119
A new settlement starts a new block of lines; the balance after it is what the operator owes you.
Commission 12% on settlement S-119
Enter commission on the latest settlement even before its payout arrives, so the balance shows what you will really receive.
Period and balance brought forward
Give the statement date and the period it covers, and carry over the balance from the previous statement.
Charges and payments
Enter each invoice under charges and each payment or credit note under payments and credits, at the amount on the document itself. "Add from my documents" copies those amounts from your saved documents for this customer.
Scope to agree
Set the sales the market collected for you against its commission and the payouts received, settlement by settlement, so the balance is the payout still owed to you.

What the document must show

These details make a statement of account easier to approve and to file.

  • Your company name and address
  • The customer's name
  • Statement date and period
  • Balance brought forward
  • Each invoice, payment and credit with date and number
  • Running balance and balance due

A statement adds no tax of its own: each line carries an invoice, a payment or a credit at the amount on that document, and the balance runs on from the balance brought forward.

Frequently asked questions

Why are sales entered as charges?

Because on this statement the operator is the party that owes money: every sale it collects for you increases what it owes, and every payout or commission reduces it. Read the balance as the payout still due to you.

The operator refunded a customer out of my sales. Where does that go?

Enter the refund as a payment and credit line with its order number, because it reduces what the operator owes you. Ask for the refund detail if the settlement report shows only a total.

How is the balance on this statement worked out?

A statement adds no tax of its own: each line carries an invoice, a payment or a credit at the amount on that document, and the balance runs on from the balance brought forward. In the worked example above the entries end at a balance of $2,543.20.

Can I use it in another language or currency?

Yes. The document language can be set to any of 33 languages, and changing the country setting updates the currency, the date format and the tax rate.

Can I add my logo and signature?

Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
