Preparation guide

Example workflow

  1. Describe the goods

Example: describe "Sterling silver pendants, 925, per piece" precisely enough for customs, with HS code, origin, quantity and unit value.

  2. Add the shipment details

Enter the Incoterms, ports of loading and discharge, gross and net weight and packages, and check "Fashion earrings, base metal, per pair" matches the packing list.

  3. Sign and send

Sign the declaration and send the invoice to the importer and your freight forwarder or customs broker with the other shipping documents.

Jewellery is small, valuable and counted by weight, so customs reads the commercial invoice closely. Precious-metal articles are listed by metal, fineness and grams, imitation jewellery by material and piece, and stones by type and count. The three kinds sit on separate lines, each with its HS code and origin, and the notes hold the insured value that the courier or airline asks for before it accepts the parcel.

Fields to prepare

Deliverables and line items
Sterling silver pendants, 925, per piece, Gold wedding bands, 18 carat, per gram, Fashion earrings, base metal, per pair: give each line a precise description, its HS code, country of origin, quantity and value.
Sterling silver pendants, 925, per piece
Give the fineness mark, the weight per piece and the finish; silver is invoiced by the piece, but customs and the insurer also work from the total weight in grams.
Gold wedding bands, 18 carat, per gram
Gold is priced per gram, so write the total grams, the carat and the price per gram on the day of shipping; a changed metal price changes the invoice value.
Fashion earrings, base metal, per pair
Name the base metal and the plating, and state that the pieces are imitation jewellery; they fall under a different tariff line from the silver and the gold.
Parties and terms
Name the exporter, the importer and, if the goods go to someone else, the consignee, with the Incoterms, the currency and the payment terms.
Shipment
Give the ports of loading and discharge, the shipping method, the gross and net weight, the number of packages and the reason for export.
Scope to agree
Give metal, fineness and weight in grams for each precious-metal line, name stones by type and count, and state the insured value, because jewellery travels under insurance and customs checks weights against the parcel.

  • Check the Incoterms, ports, weights and package count against the shipping documents, and the importing country's customs requirements.
  • Check each HS code and country of origin with your freight forwarder or customs broker; QuoteBill does not look them up.
  • Check the tax rate: it starts at 0% because exports are often zero-rated, so change it if your sale is taxed.

Worked example with sample figures

The figures below are invented to show how the template adds up: 3 lines in USD, with no tax added.

  • Sterling silver pendants, 925, per piece (HS 7113.11, origin TH): 600 × $9.50 = $5,700.00
  • Gold wedding bands, 18 carat, per gram (HS 7113.19, origin TH): 120 × $62.00 = $7,440.00
  • Fashion earrings, base metal, per pair (HS 7117.19, origin CN): 1,500 × $1.20 = $1,800.00

Value of the goods $14,940.00, tax $0.00, invoice total $14,940.00.

  • Sales order SO-JW-5081.
  • Shipment: CIP Dubai, from Bangkok Airport, TH to Dubai Airport, AE; gross weight 16.5 kg, net weight 13.9 kg, 3 CTNS.

What the document must show

These details make a commercial invoice easier to approve and to file.

  • Exporter and importer names and addresses, and the consignee if different
  • Invoice number and date
  • Each item with description, HS code, origin, quantity, unit price and value
  • Incoterms, currency and payment terms
  • Ports of loading and discharge, shipping method
  • Gross and net weight, number of packages
  • A signed declaration

A commercial invoice starts at 0%, because exports are often zero-rated; change the rate if your sale is taxed. The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions

Why is the insured value shown if it is not the invoice value?

Couriers and airlines accept high-value parcels only with a declared value for insurance, which is often the invoice total or a little more. Write it in the notes so the figure on the waybill and the figure on the invoice can be compared.

How do I list stones set in a piece?

Name the stone type, the count and the total carat weight in the description of the piece, and keep a loose stone on its own line. Set and loose stones fall under different tariff lines, so mixing them confuses the classification.

How is the sales tax worked out on this commercial invoice?

A commercial invoice starts at 0%, because exports are often zero-rated; change the rate if your sale is taxed. The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending. With nothing added, the total in the worked example above stays at the net amount of $14,940.00.

Can I download it as Excel, Word or PDF?

Yes. A PDF needs no account: fill in the template and use Print / PDF. The Excel and Word files download from this page with a free account, and the spreadsheet keeps its formulas, so changing a quantity updates the tax and the total.

How is the document numbered?

QuoteBill gives each new document a unique number of its own. A member can switch to numbers in sequence in settings, such as CI-2026-0001: one sequence for each kind of document, starting again every calendar year. A number you type yourself is kept as it is.
