Preparation guide
Example workflow
Match the payment to the invoice
Example: check the payment for "Payment for invoice INV-031: brand illustrations" against the invoice it settles: the invoice number, the amount received and any balance still owed.
Record the payment
Enter the payment date, the payment method and the amount received, and check each line this payment covers, down to "Reimbursed expense: printed proofs".
Send the receipt
Send the receipt to the customer and mark the invoice as paid; if a balance remains, keep the invoice open for it.
Many freelancers never issue receipts, because the invoice already says what is owed. Then a client’s accounts team asks for proof of payment, a platform payout needs matching, or a client pays cash for a rush job. A freelance payment receipt answers that request on one page: which invoices were settled, which expenses were repaid, and what the client withheld for tax, if anything. This template keeps each invoice on its own line and expenses apart from fees.

Frequently asked questions
The client withheld tax from my fee. What does the receipt show?
Show your full fee on the line and note the amount withheld and the net received. Ask the client for a record of the withholding and keep it with this receipt for your tax return.
A platform paid me after taking its commission. Which amount do I receipt?
If the client asks, receipt what they paid the platform and note that the platform’s commission was taken before payout. Keep the platform’s payout report with your own records.
How is the sales tax worked out on this receipt?
The worked example above uses an example rate of 8%: $118.00 on a net amount of $1,475.00, for a total of $1,593.00. The editor recalculates all three when you change a quantity, a price or the country.
Can I change the layout and colour?
Yes. The editor offers other layouts and a document colour for the printed page. Changing them moves no figure: the lines and totals stay as they are, and the PDF, Word and Excel files follow the layout you pick.
How is the document numbered?
QuoteBill gives each new document a unique number of its own. A member can switch to numbers in sequence in settings, such as REC-2026-0001: one sequence for each kind of document, starting again every calendar year. A number you type yourself is kept as it is.
