Preparation guide

Example workflow

  1. Match the payment to the invoice

Example: check the payment for "Two-piece suit, dry-clean and press" against the invoice it settles: the invoice number, the amount received and any balance still owed.

  2. Record the payment

Enter the payment date, the payment method and the amount received, and check each line this payment covers, down to "Stain treatment, per garment".

  3. Send the receipt

Send the receipt to the customer and mark the invoice as paid; if a balance remains, keep the invoice open for it.

At a dry cleaner the receipt is often written when the clothes come in, before any work has been done, and the customer pays at collection or in advance for an express job. That makes it the only record of what was handed over and in what state. List each garment with its service, fill in the ticket number, and keep the condition at the counter and the ready date in the notes, where a complaint can be checked against them.

Fields to prepare

Deliverables and line items
Two-piece suit, dry-clean and press, Wedding dress, cleaning and preservation box, Wool coat, 24-hour express service, Stain treatment, per garment: the lines this payment covers, as they appear on the invoice it settles.
Two-piece suit, dry-clean and press
A suit is two pieces on the rail and should be two on the ticket; a vague “1 suit” is where missing-trouser disputes begin.
Wedding dress, cleaning and preservation box
Describe the dress, its beading or lace and its condition at drop-off, and say what the preservation box does and does not promise.
Wool coat, 24-hour express service
Give the promised ready date and hour for the express job; the surcharge is only fair if the time is kept.
Stain treatment, per garment
Name the stain, where it is and whether removal is guaranteed; some marks do not come out, and the customer should hear that before paying.
Payment details
Record the payment date, the method (bank transfer, card or cash) and the amount received, exactly as it arrived.
Invoice reference
Quote the number of the invoice this payment settles; for a part payment, note the balance still owed.
Scope to agree
Count the pieces, give the ticket or tag number, record stains and damage seen at the counter, and write the ready date and what happens to items nobody collects.

Frequently asked questions

Which damage should I write down at the counter?

Record stains, missing buttons, loose seams, fading and worn cuffs or elbows, and let the customer watch you do it. It is the only way to show later what the garment looked like before cleaning.

What if a customer never collects their clothes?

Print your rule for uncollected items on the receipt: how many days you keep them and what happens then. Rules differ by country and by shop, so check that yours is allowed where you trade and apply it the same way every time.

How is the sales tax worked out on this receipt?

The worked example above uses an example rate of 8%: $12.24 on a net amount of $153.00, for a total of $165.24. The editor recalculates all three when you change a quantity, a price or the country.

Can I use it in another language or currency?

Yes. The document language can be set to any of 33 languages, and changing the country setting updates the currency, the date format and the tax rate.

How is the document numbered?

QuoteBill gives each new document a unique number of its own. A member can switch to numbers in sequence in settings, such as REC-2026-0001: one sequence for each kind of document, starting again every calendar year. A number you type yourself is kept as it is.
