Preparation guide

Example workflow

  1. Match the payment to the invoice

Example: check the payment for "Goods delivered, order SO-5528" against the invoice it settles: the invoice number, the amount received and any balance still owed.

  2. Record the payment

Enter the payment date, the payment method and the amount received, and check each line this payment covers, down to "Cash-handling fee on delivery".

  3. Send the receipt

Send the receipt to the customer and mark the invoice as paid; if a balance remains, keep the invoice open for it.

With cash on delivery, the money changes hands at the door, often to a driver who did not make the sale. The receipt is the customer’s only proof of payment and the seller’s record of what the driver must hand in at the end of the day. This template separates the goods, the delivery charge and the cash-handling fee, and leaves room for the order number that both the driver’s list and the customer’s confirmation carry.

Fields to prepare

Deliverables and line items
Goods delivered, order SO-5528, Delivery charge, Cash-handling fee on delivery: the lines this payment covers, as they appear on the invoice it settles.
Goods delivered, order SO-5528
Copy the order total from the sales order, not from memory; the customer compares it with their confirmation e-mail.
Delivery charge
Show the delivery charge even when it was quoted as included, so a later refund of the goods alone is easy to work out.
Cash-handling fee on delivery
Name the COD fee as such; customers dispute an unexplained extra more often than a small fee they were told about.
Payment details
Record the payment date, the method (bank transfer, card or cash) and the amount received, exactly as it arrived.
Invoice reference
Quote the number of the invoice this payment settles; for a part payment, note the balance still owed.
Scope to agree
Match the order number and amount to the delivery list before the driver sets off, record cash and card separately, and note any item refused at the door.

What the document must show

The details a receipt has to show, and why each one matters, are set out in the guide below.

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions

Who signs the receipt, the driver or the customer?

The driver signs for the money received and the customer for the goods, ideally on the same copy. Each keeps one, and the seller’s copy goes in with the cash at the end of the round.

What if the customer refuses part of the delivery?

Strike the refused item from the lines before taking payment, write why in the notes and take the goods back. The receipt then matches both the cash and the parcel that stayed.

How is the sales tax worked out on this receipt?

The worked example above uses an example rate of 8%: $7.92 on a net amount of $99.00, for a total of $106.92. The editor recalculates all three when you change a quantity, a price or the country.

Can I download it as Excel, Word or PDF?

Yes. A PDF needs no account: fill in the template and use Print / PDF. The Excel and Word files download from this page with a free account, and the spreadsheet keeps its formulas, so changing a quantity updates the tax and the total.

Can I change the layout and colour?

Yes. The editor offers other layouts and a document colour for the printed page. Changing them moves no figure: the lines and totals stay as they are, and the PDF, Word and Excel files follow the layout you pick.
