What it is

A warning letter is the written record of a problem at work: what happened, which rule or duty it touched, what the employer expects instead, and what may follow if it happens again. Employers use it to give an employee a fair, clear chance to put things right, and to keep an accurate record of what was said and when. It is not a punishment on its own and it is not a substitute for a fair process.

This template has three stages. A record of a verbal warning confirms in writing a conversation that has already taken place. A written warning states the matter formally. A final written warning says plainly that further misconduct may lead to dismissal. Each letter sets out the facts, the expected change, an optional review date and a receipt line that the employee signs to confirm they received it, not that they agree. The country versions follow local practice: an at-will notice with an acknowledgment in the United States, an ACAS-style letter with a meeting, the right to be accompanied and an appeal in the United Kingdom, the Korean 경고장, 경위서 and 시말서, the Japanese 注意書, 警告書 and 始末書, and the German Abmahnung.

When to use it
  • An employee has missed a rule or duty, and you want to put expectations in writing.
  • You have already spoken to the employee and want a record of what was said and agreed.
  • You are following a staged process and the next step is a written or final warning.
  • Your country has its own document for this, such as the German Abmahnung or the Japanese 始末書.
How to fill it in
  1. Check the employer details and enter who issues the letter, with their position.
  2. Enter the employee and choose the stage: verbal record, written or final warning.
  3. Describe what happened with date and place, and name the rule or duty concerned.
  4. Say what must change in specific terms, add a review date, and list earlier discussions with their dates.
  5. Read the preview, print the letter, hand it over in person and ask the employee to sign the receipt; keep a copy.
Common mistakes
  • Writing in general terms such as "poor attitude" instead of what was said or done, when and where.
  • Skipping the conversation, so the letter is the first the employee hears of it.
  • Choosing a harsher stage than the facts support, or jumping straight to a final warning.
  • Treating similar cases differently without a reason you can explain.
  • Using the letter as a dismissal notice or as a way to avoid your country's required process.

Questions

Do I have to give a verbal warning first?
There is no single rule. Many employers use stages, and in some countries a warning is expected before a dismissal for conduct. Serious misconduct can justify skipping stages. Check your policy and the rules that apply to you, and apply them the same way each time.
What if the employee refuses to sign the receipt?
The signature only confirms that the letter was received. If the employee refuses, note the date, the time and who was present when you handed it over, and keep a copy. In Germany, delivery by messenger or registered mail also proves receipt.
How long does a warning stay on file?
That is for your policy and the local rules. In the UK a warning normally lapses after a stated period, such as 6 or 12 months, and the UK version lets you state it. Elsewhere, write down the period in your policy so that every case is handled alike.
Is this legal advice?
No. It is a general template. Discipline is a sensitive area and the rules differ by country, contract and workplace, so have the letter checked by a qualified adviser before you rely on it.
Is this form legal, tax or accounting advice?
No. It is a template: it gives you the usual structure and wording, not advice. Rules differ by country and case, so have someone qualified read anything that matters before you sign, send or file it.
Which countries and designs does it come in?
It comes in 6 country versions: International, United States, United Kingdom, Korea, Japan, and Germany. 12 designs.
