How to ask a client to sign online

Write a contract from a sample or a quotation, send each signer a secure link and, by another route, an access code, and get a simple electronic signature with an audit trail. The other side needs no account. This article walks through the steps and the limits.

You can ask a client to sign a contract online without asking them to make an account. QuoteBill creates a simple electronic signature with an audit trail. It is not an advanced or qualified electronic signature, and QuoteBill does not verify who signs. This article walks through the steps. It is general information, not legal advice. 1. Write the contract Sign in with a free account and start from one of the sample contracts, from a document you already made (a quotation, proforma invoice, invoice, work order or purchase order) or from a blank page. Fill in the parties, the clauses, the price schedule, the payment terms and the governing law. Your draft saves as you type, and a bar at the top steps through the blanks that are left. 2. Send it When you send, the text is frozen and given a SHA-256 fingerprint: any later change to the content changes the fingerprint. You sign first, as party A. Sending needs a sign-in from the last 24 hours; if yours is older, a dialog asks for your password and the action continues on the same page. 3. Share the link and the code QuoteBill shows each signer’s link and access code once. QuoteBill sends no email itself: you send the link, by email or messenger, and the 8-character access code by another route, such as a phone call or a text message. Anyone who has both can sign, so deliver them to the right person. 4. What your client sees The link opens on a plain page saying they were sent a contract to review and sign. They enter the code, read the whole text with a check that it has not changed since it was sent, consent to sign electronically and sign by drawing or typing a name, or with a seal image. They need no account and no app, on a phone or a computer. After five wrong codes the link locks for 15 minutes. 5. Track it, then keep the signed copy The audit trail shows who opened and who signed, and when. You can move the signing deadline while the contract is out, and every change is recorded. When everyone has signed, you can print or save the contract as a PDF with its signature certificate and download an evidence file. Anyone who holds a copy can check the certificate or the evidence file on the public verification page. Then make the invoice from the signed contract, in full or for a deposit. Limits to know E-Contracts is free for members within fair-use limits: 50 new contracts a day, 20 sent a day and 100 stored at a time. Some documents must take another form under the law where you are, such as wills, guarantees given as a private person or anything that needs a notary or a qualified signature, and should not be sent this way. Review any contract that matters with a lawyer.
