Start with the billing event, not an old PDF
A useful freelance invoice connects a payment request to work the client can identify. Before filling in a template, decide whether you are billing approved hours, a completed deliverable, or an agreed project stage. Open the accepted quote, scope changes, time record, and earlier invoices together. This catches duplicate charges before they become a client question.
Collect the client's billing name, address, accounts-payable email, and any purchase-order reference. Your project contact may not be the person who processes payment. Confirm whether a customer portal or supplier registration is required, and keep its instructions with the project rather than guessing from the client's public website.
Give each charge a unit and an identifiable result
For hourly work, state the service, the service period, the number of approved hours, and the agreed hourly rate. For a fixed fee, describe the deliverable or stage instead of suggesting that the quantity represents hours. Separate approved expenses from your professional fee so the client can match them to receipts and the agreement.
An example research project covers work from 2026-09-01 to 2026-09-08. Research and interviews are 12 hours at USD 75, producing USD 900. An agreed fixed-fee report edit is one deliverable at USD 180. The subtotal is (12 x 75) + 180 = USD 1,080 before any applicable tax. These are illustrative figures, not recommended rates.
The example assumes editing was expressly outside the hourly research scope. If editing was already included in those 12 hours, charging it again as a fixed fee would duplicate work. Add a brief scope reference, such as "Report edit approved with scope change 02", only when that approval actually exists.
Check identity, dates, and the local requirements
Use an invoice number distinct from the client's purchase order. Check the issue date, service period, due date, supplier identity, customer identity, and currency. If 15 calendar days after 2026-09-09 is the agreed term, show 2026-09-24 as the due date rather than leaving the template's initial deadline unchanged.
Requirements depend on your jurisdiction and tax position. For example, GOV.UK lists a unique invoice identifier, party details, a description, supply and invoice dates, amounts, and applicable VAT among UK invoice information. The Australian Government distinguishes regular invoices from tax invoices. Neither source makes one generic template compliant everywhere; consult the relevant local authority or adviser for your transaction.
Prepare the document in QuoteBill
Sign in and choose a consultant, photography, or other relevant invoice template. Replace all sample lines and customer details. Enter the hourly quantity and unit price separately, and use a separate line for an agreed fixed fee. Put a purchase-order or service-period reference in the notes when there is no dedicated field for it.
Review the country, document language, discounts, and tax setting before trusting the total. If you began with an accepted QuoteBill quotation, "Convert to invoice" creates a separate draft; it does not verify billable hours, deduct earlier payments, or confirm delivery. Adjust the copied content to this billing event and keep the accepted scope available.
Review the PDF as the client will receive it
Use "Save to cloud" and wait for confirmation, then "Print / PDF" to create the file through the browser. Open that file before sending it. Check the final page as well as the first one: a long description or payment instruction can move to a later page. Saving a draft does not send the invoice to the client.
- Match hours, deliverables, and expense receipts to the approved scope and prior billing.
- Confirm the invoice number, billing recipient, service dates, and purchase-order reference.
- Read the currency, discounts, applicable tax, payment instructions, and final total together.
- Check that every PDF page is readable and that the filename identifies this invoice.
- Send through the agreed channel and keep the delivered version and delivery record.
