Create invoices from a spreadsheet with the API

If your work lives in a spreadsheet, a row can become a draft invoice or quotation in your QuoteBill account through a small API with personal keys, used from Make, Zapier, n8n or a script. This article is the short version of the guide, which is in English.

If you already keep your work in a spreadsheet or a Notion database, a row can become an invoice or a quotation in your QuoteBill account without retyping it. QuoteBill has a small API for this. The guide, in English, has every detail; this article is the short version. What you need A QuoteBill account with a confirmed email address, and a tool that can send ordinary web requests: Make, Zapier (Webhooks by Zapier), n8n (HTTP Request) or a script. QuoteBill is not an official partner of those products, and the steps inside them may change. 1. Make a key Open Company settings, find API keys, give the key a name such as Make: Google Sheets, choose how long it is valid (30, 90 or 365 days) and press Create key. The key is shown once, when you make it. QuoteBill keeps only a hash of it, so a lost key is replaced, not recovered. You can have five active keys at a time, so each workflow can have its own. 2. Keep the key safe Treat a key like a password. Put it in the tool’s own connection or credential feature where it has one, use a separate key for each workflow, never share or export a workflow that contains one, and revoke any key you no longer use. Keys are not revoked automatically when you change your password. A leaked key can create drafts and read your documents, including customer details, until you revoke it. 3. Send one request With a key, a request creates a draft invoice, quotation, proforma invoice, receipt, credit note, purchase order, delivery note, work order or commercial invoice in your own cloud documents. You send the kind, the customer’s name and the items; the country, currency, language and dates are optional. The answer gives the address of the document in the editor, its number and its totals. A request can carry an Idempotency-Key, so that a retry does not make a second draft. The same key can list your documents and read one of them. 4. Check and send in the editor The draft opens in the editor for you to check and send. Nothing is sent for you. An example workflow A new row in a Google Sheet triggers the tool. It takes the customer’s name, the description, the quantity and the unit price from the row’s columns and sends the request. The answer carries the editor address, which you can write back into the sheet. For a Notion database, the guide gives an outline in which one of those tools reads the database and calls the API. What it deliberately does not do It cannot send or sign e-contracts, send email, edit or delete documents, change your account or company settings, or read anyone else’s data. There are no webhooks yet. The limits are 60 requests a minute and 5,000 a day for each key, and at most 500 new documents a day for your account. Documents made through the API count against your cloud document limit, as any document you save does.
